As a small business owner you are limited on everything from money to help, but one of the most important resources that you are limited on is your time.

Items like meetings, paperwork, email, phone calls, and taking trips to the post office can all eat up your valuable time. But if you are serious about being a successful business owner, then you have to learn how to master your time and avoid the time management trap.

The time management trap is the trick that many small business owners like you find themselves in. In its most simple form it is defined as attempting to do any and everything any and all the time.

Does this sound like you? Are you constantly trying to cram every little detail, doing a lot of things, going a lot of places, shuffling lots of paper, but never really getting anything accomplished?
When you are stuck in the time management trap you begin to resemble a hamster on running on the wheel that just keeps going and going and never stopping. And all that results from this constant running is that you are exhausted, overwhelmed, and are still nowhere close to where you want to be.

If you want to get off this wheel, stop moving in circles, and start moving forward then apply these tips aimed at helping you avoid the time management trap.

Tip #1 – Plan In Advance
One of the smartest things you can do is plan a week, a month, a quarter in advance. You should take a calendar and write out important meetings and deadlines, well enough in advance so that you can plan for them accordingly.

Tip #2 – Focus On Your “Must Do’s”
Must do’s are the things that if you don’t do them right now, your business will not be able to continue. These can be anything from ordering inventory to cash reconciliation. Your job is to keep your doors open, so give those things the lion’s share of your attention.

Tip #3 – Delegate Aggressively
Let’s face it, you can’t do everything, in fact you should not be doing everything. You need to divvy up responsibility to others, allowing them to handle all of the things that need to be handled, again all to leave you with the time to focus on your business “must do’s” Stuffing envelopes, sending out tweets, answering the phone, going to the post office, ordering supplies – are just examples of some of the things you can get off of your plate.

Tip #4 – Chunk Your Time Together
Chunking your time together simply means setting aside a certain block of time to do certain tasks, rather than having thing spread out thin. For example block out 1 hour each day to go send/receive email. Or another example is to set aside Tuesday mornings for employee meetings, or set up 3 hours that you will be in the office to meet with vendors/suppliers.
You should take a calendar and write out important meetings and deadlines.

Tip #5 – Use A Timer Or Stopwatch
A great way to manage your time when performing certain tasks is to use a timer or stopwatch to help you start and stop on time. Chances are your smartphone may have such a feature or App that you can use. For example if you are going to set aside 20 minute employee coaching sessions you may want to set your timer for those 20 minutes and when your alarm goes off, wrap up your meeting and set aside another time to discuss anything you didn’t get to. This will help both you and your employees learn how to better respect each other’s time.

Just remember that you only get 24 hours each day so make the most out of those hours, don't allow yourself to get distracted or detracted from your goals. Set deadlines and guard your time wisely. Your success depends on it!
